Introduction
The Wedding Firm of Jeffrey Bost and Associates (TWF) is looking to fill the position of Vice-President of Operations. This is an opportunity for you to join our small, effective team in a key support and organizational role. We do have independent contractors who work well with us, usually on specific projects, and you will be expected to coordinate with them. At TWF, we have a good reputation for our work. However, there is room for improvement, particularly around marketing and booking in a timely fashion.
We have analyzed our performance over the last six months and feel that we have a weakness in the sales area being overly dependent on emails and our web site to generate new business. Our current method hardly serves our expectations. Therefore, we haven’t been generating the number of fresh inquiries that we need to meet the sales target and grow the business. Incorporating the outward focus into the job will be a new challenge for us.
We have been changing the jobs of some of our independent contractors to support this new role. Delegating, marketing and booking to them. We are keen to automate and to improve our system whenever possible. But the real key is person to person.
You will need a genuine enthusiasm and realistic approach to the wedding business and the marketing system. We do not sell snake oil! You will need to learn quickly about TWF, our clients and the services that we provide. The ability to write concise, plain English is important.
You will be expected to be the hub of the Wedding Firm’s team located in the Wedding Firm’s Office with some potential to work from home when you are fully trained and feel comfortable to do so. Having said that part, part of the job is as the first point of call for most of our clients, so extending work periods from home is unlikely to be feasible unless there are changes in telecommunications where we could seamlessly forward calls through to you.

This is a senior position, so your input into our business direction is both welcome and expected. You will be the primary contact, so you will need to become familiar with all aspects of TWF’s business. You will be an integral and trusted part of our small management team with particular responsibility for the smooth running of TWF’s system. We will value your organizational and project management skills and particularly your ability to keep track of lost of different things at once.
Primary Responsibilities
Vendor Management
With ten areas of vendor services, keeping an eye on work flow, ensuring vendors have enough work, and that no one is overburdened is an important part of your job. Your job will be to know the days, the level of services and prices of each vendor. To do your best to allocate the work we have. Make arrangements for shortfalls and over commitments.
Project Management
The second area that we are continuously wanting to improve is keeping track of {and therefore meeting} expectations with respect to deadlines and work progress. Your second major role is to be the person with the giant charts who knows what deadlines are coming up and help vendors to meet their targets. You will play an active part in keeping clients informed on progress either by contacting them directly or reminding vendors to do so. As you become familiar with both the wedding firm and the wedding business, your input in consulting and the process will be beneficial to the client and to us. You will use the vendor calendar and the internet (The Perfect Wedding Guide) to publish information about weddings for the vendors to use and to produce progress reports for the brides.
Quality Control
Everyone at TWF is expected to take responsibility for quality control. However, you will be particularly helpful in developing systems that ensure our work is to be of the highest standard. You will test and before they are released, ensure that each vendor’s service and goods are of the best quality.
Sales and Business Development
We would like to emphasize this part of the Vice President’s role. We are only a small team, not big enough to need a dedicated sales position while the wedding firm runs a little below expectations; we are looking to pick up in the area of marketing and product development skills.
We look forward to your ideas and experience in helping us run the best business that we can. We expect you will be writing proposals, facilitating better access to key information among the team and organizing special events such as bridal shows, luncheons, client functions and so on. It is important that you attend client’s briefing, brainstorm with the team and write proposals and analyze some of TWF’s existing work identifying potential churches and tailoring a program for them would be an exciting development we would like for you to lead.

The key to doing this job will be the ability to multi-task and keep track of multiple jobs, clients, vendors and contractors while maintaining your sanity and sense of humor.
Diplomatic, pragmatic, assertive and honest
Our vendors and our clients are extremely important to us. We encourage our vendors to have direct contact with our clients and have found that this approach diffuses most situations before they arrive. However, in times of stress, people react in different ways. So, you will need to be aware of your role in negotiating and changing deadlines with both parties.
Teamwork
While we are working in a distributed environment, most vendors work from home. TWF still functions very well as a team, and you will be a vital part of our team. We do a lot of day-to-day communication by email and phone. Always remember to keep the business phone on during business hours.
Self-motivated
Working without others physically near you or watching over your shoulder, can be de-motivating. So it is important that you feel comfortable setting your goals on a day-to-day basis: comfortable with clients. You will be working directly with clients in the public and private sectors. So you will need good people and presentation skills and be able to talk with people from all levels of an organization. An ability to translate between client and vendors is highly desirable: keen to keep learning. The wedding industry changes rapidly and we pride ourselves on keeping up with new marketing strategies. We are looking for vendors who like to do and learn new things.
